Project Details
On a newly converted project the project form will appear for a review before users can access the project dashboard.
On an existing project to access the project details select the blue pen icon.
Most details shouldn't and cannot be changed during an active project, however some can be changed before the project starts.
Descriptions for the 2 new fields provided below, all other fields are can be reviewed on the Proposal Creation article.
Project Experience - This is where the description for Past Project Experience can be provided and then view on the Experience tab on the proposal.
Keywords - These can be provided to help when searching for the Project on the index page.
Project Status
There are 4 possible status options for a Project, these can be changed manually by a project editor or manager at anytime. Each status represents the following:
Active - The project is ongoing and new resources can be recorded, approved and invoiced.
Complete - The Project is complete but still has time waiting for approval, POs waiting for approval and receipting or work lying in WIP to be invoiced. You cannot book or track new Team and Asset resources.
Cancelled - The Project has been stopped, you can no longer track resources except for outstanding expenses. Actuals lying in WIP can be invoiced.
Closed Out - The Project has completely finished and you can no longer Invoice.
Dashboard widgets
The first viewable page on the Project is called the Project Dashboard. This provides a summary of data key data metrics that help indicate the current status of the project with additional graphs also providing an overview against the planned and forecasted values.
The default dashboard widgets are listed below:
NOTE: There are multiple additional data blocks and widgets that can be used to customise this dashboard view upon request.
Project Progress: This is the total physical/actual progress (in %) of the project. It can be updated manually for each WP within the ‘Work Breakdown’ > Progress tab.
Budget Progress: This is the actual vs planned cost for the project.
Budget: This is the total planned price/revenue of the project. It will be updated along with approved variations.
Project Status: This is the current status of the project (Actual Progress) vs the planned status (Planned Progress).
Budget Chart: The budget graph changes depending on the project Billing Type.
For Reimbursable billing type, the graph will be tracking price/revenue. For Fixed price billing type, the graph will be tracking cost.
Forecast: This shows the invoice forecast across the project timeline. To update the planned line for this graph, select Finance > Payment Schedule then complete the invoice amounts for each month or add payment milestones.
Project Progress Chart: This displays the planned, actual and forecast progress (%).
Hours: These are the tracked hours of the project, divided by status.
Margin: This shows the estimated/planned margin against the current/actual margin.
Deliverables: This is a summary of all deliverables and their current progress. Deliverables are updated manually and can be done so by moving the slider for % completion within the ‘Work Breakdown’ > Deliverables tab.
Rate Review
Rate review allows you to change or update the contract during an ongoing Project. This is a feature flag and therefore not a default feature consult Proteus Customer Success for more details if you wish to activate.
To change a contract, select the Rate Review button.
The rate review form will appear providing a list of the available contracts for this project.
NOTE: You can only change to a contract with the same base currency as the original contract - also beware that if the contract is past expired it will not appear.
First select which contract will be the new contract for this project. You then have the option to backfill timesheets. By selecting a backfill date all time that was booked from the date selected till current will be updated to the new price set from the selected contract.
NOTE: Invoiced or approved time will not update to the new rate only submitted or outstanding time.
Ensure to select Submit to confirm the change.
