Invite, Edit or Deactivate Users and Configure User Roles

User Role Permissions


Inviting New Online Users

Navigate to Users within the admin console

Select + Add New this will open an invite user form

Add the following details to the user form:

  • New Users Email - they will receive an invite via this email to ensure its accurate.

  • Office - select the office this user resides within in your organisation.

  • User Role - refer to the User Role Permission matrix on this article

  • Finance and Asset Manager - toggle whether this user should be given permission to access these modules, by default they are hidden.

  • Is User Approver - toggle whether this user should be an an available option to approve proposals.

Once all details are completed select Invite

New Users will receive an email invitation to the Proteus tenant. You have the ability to complete further details for their profile or you can leave it for after they accepted the invitation and joined Proteus to complete themself.

To view users pending invite select Invited

Within Invited you will be able to view all invited users that have not yet accepted the invite.

If a user has not accepted the invitation within the expected timeframe, click Re-invite which will send another email invitation to the user.


Managing Existing Users

You can edit an existing users details anytime via the Edit button which appears after selecting the 3 dots.

Once the details form appears you can update the users details. Ensure to select Save once the updates are completed.


Deactivating Users

You can deactivate users at anytime via the Deactivate button which appears after selecting the 3 dots. This will cause the users login to no longer be valid - Unless there profile is reactivated.

Deactivated that are assigned to Projects (where the PM can book time on their behalf) or have already booked time will still be valid but can no longer be assigned to new Proposals or Project records.

Deactivated users will receive an email notification telling them that their account has been deactivated.

You can view all Deactivated users by selecting Deactivated.

If you wish to reactivate a user click the 3 dots then select Activate.


Offline Users

The lowest tier of licences on Proteus is Offline Users. These user do not have access to Proteus and cannot be used/assigned in most of the workflows on Proteus. You are able to complete an offline users profile and CV which can be added to the proposal word document. They can also be assigned to projects as a resource.

Navigate to Users, Click Add Offline User

Converting an Offline user to Online

To convert an offline user to online select the users 3 dots on the index page then select convert to user account

  • Note that you must have an unused full or timesheet only License to be able to convert an offline user, to add additional Licenses notify a member of Proteus Customer Success via email or intercom.

  • Fill in the details then Convert & Invite, Users will receive automated email invitation to become a full user
