Creating a Definition

Select Definition

Select Create Definition

Enter Definition details then click create

Note that you will need to create a charge-out contract before creating a Definition

Select the pen Icon to make changes to the Definition details

Cloning a Definition

Select the 3 dots of the Definition you want to clone then click clone

Initial Definition Setup

Approvers Setup

Select the Approvers Icon

Select the approvers to add to this Definition

Once the approver is added you can send Definition for approval once ready

Share Users Setup

Select the Share Icon

Select the user you want to invite to have access to the Definition

Select the permissions and then share

Definition Notes

Select the Notes Icon

Select add new

Enter the note/message then click the save icon or delete

Once a note has been created all users with access to the Definition will get a red dot next to the note Icon to indicate a new note has been sent

Download Definition Report

Select the download Icon to download an excel Definition report

Definition Status

Change the definition status while ongoing, once the status is changed to Approved the Definition will be converted to a Project

Creating a Work Package

Select 'create work package'

Alternatively click the 3 dots of a Work package to add a child work package

Enter the work package details

Note that the Title, S-curve, Classification and start & end date are all required for when the Definition becomes a project

Select add resource

Enter the resource details then add

Note that the Process is the same for all resource while the details slightly differ

Select the Summary Icon on a work package to see a summary of the VOWD and price

Work Package Drag and drop

Navigate to WBS

Click the dotted square icon of a Work Package and drag to another position

Notes:

  • The WP will automatically reassign the correct WP reference once moved.

  • To move parent WPs you will need to minimise them if they have child WPs.

Adding Team Organogram

Select Team

Select Add team member

Enter team member name and role

Creating Project Schedule

Select Plan

Select the timeframe to view the plan

Double click the orange timeline of the WP you want to change, then enter the new date

Alternatively change the start and end date via the WP details on the WBS page
